Childcare vouchers & Tax-Free Childcare

Eligible families may be able to use childcare vouchers or Tax-Free Childcare towards approved Base Dance sessions. Please follow the correct booking process, complete the parent declaration for regular classes and send us your payment evidence so we can allocate it accurately.

Important eligibility information

Payments must be for qualifying childcare

Childcare vouchers and Tax-Free Childcare are government-supported payment methods with specific rules. They cannot simply be used as a general discount on any activity.

Approved childcare

The care or supervised activity must be provided through an approved or registered childcare provider. Base Dance is registered with Ofsted for its approved childcare provision.

Connected to work

The main reason, or one of the main reasons, for the childcare cost must be to enable the parent to work, or both partners to work where applicable.

Parent responsibility

You are responsible for confirming that your circumstances and payment meet the scheme rules. Base Dance cannot decide your personal eligibility on behalf of HMRC or your voucher provider.

Activity classes can qualify: HMRC guidance includes supervised activity classes such as ballet or football training as examples of childcare outside compulsory education. All qualifying conditions must still be met. If you are uncertain, check with HMRC or your childcare voucher provider before paying.

How to set up voucher payments for classes

Follow these steps in order so your child is enrolled correctly and your payment can be matched to the right Base Dance account.

Confirm that you understand the qualifying childcare rules and are using the payment method for an appropriate legal purpose.

Make the payment

Pay through your Tax-Free Childcare account or voucher provider. Regular class payments must reach us at least seven days before the start of term.

Send your receipt

Email the receipt, payment reference, child’s name and the classes being paid for. Some providers do not include the child’s name.

Tax-Free Childcare and voucher payments must be received before our admin team books your child’s camp place. Email info@base-dance.com to arrange this payment method.

3 Email your receipt Include your child’s name and camp dates so the payment can be allocated.
4 Admin books the place Our admin team books your child’s place after payment has been received.

Before you send a payment

These answers explain the Base Dance process. Questions about personal eligibility should be directed to HMRC or your voucher provider.

The declaration confirms that the parent or carer understands the qualifying childcare rules and is requesting to use the payment method for an appropriate purpose. It also gives Base Dance the information needed to identify the payment.

Complete it before your first voucher or Tax-Free Childcare payment for regular weekly classes.

The payment amount and date
The provider’s payment reference
Your child’s full name
The class, term or camp dates being paid for

These payments are received outside the Base Dance parent portal and must be matched and allocated manually. Processing times also vary between providers.

Sending your receipt promptly helps us identify the transfer. Please do not send a second payment unless our team confirms that the first has failed.

Email us with the provider’s full name and any registration instructions supplied. We will check whether Base Dance can register with the scheme. Please wait for confirmation before paying.

Base Dance can explain our booking and payment process, but we cannot advise whether your employment, family or childcare circumstances meet the scheme rules. Check your childcare account, HMRC guidance or your voucher provider before paying if you are unsure.
